1. Who this covers
This policy applies to Linestar HR (“the system,” “Linestar One”), used internally by Linestar Trucking staff and externally by anyone who applies for a job through our public application page. “We,” “us,” and “Linestar” mean Linestar Trucking.
2. What we collect
If you apply for a job: full name, phone number, email, date of birth, the position you’re applying for, your IELTS score if you have one, a photo, your resume/CV, and anything you write in the message field.
If you’re an employee or candidate in our pipeline: the above, plus department, company, gender, a checklist of which onboarding documents have been provided (not the documents themselves — see below), vacation and leave records, and — for staff on a tracked shift — check-in/check-out times.
Face ID attendance (once in use): a timestamped record of each check-in and check-out, and a photo captured at the terminal for verification. Attendance photos are automatically deleted after 30 days — the underlying attendance record (who, when, on time or late) is kept longer for payroll and HR purposes, but the photo itself is not.
If you have a corporate account or company equipment: which platform/login you have access to (never the password) and which company equipment is assigned to you.
3. Documents are tracked, not stored
For onboarding paperwork (ID, contract, etc.), the system only records whether each document has been checked off — it does not store the files themselves.
4. How we use it
To evaluate job applications, manage the hiring process, run payroll-related attendance and leave tracking, administer company equipment assignments, and otherwise carry out normal HR administration for Linestar Trucking.
5. Who can see it
Access is limited to HR and management staff, and only to the areas relevant to their role — the system enforces this automatically rather than relying on everyone having access to everything. We do not sell or share your information with outside companies, except the service providers below who help us run the system.
6. Where it’s stored, and who else touches it
Data is stored with our hosting and database providers, and, if you’re offered an email from us through the system (for example about your application), that email is sent through our email delivery provider. These providers process data on our behalf and don’t use it for their own purposes.
7. How long we keep it
We keep information for as long as it’s needed for the purposes above, or as required by law — for example, an unsuccessful candidate’s application stays on file in case a similar role opens up, unless they ask us to remove it. Face ID attendance photos specifically are kept for 30 days, then deleted automatically.
8. Cookies
The system uses a small number of essential cookies to keep you signed in and to know your session is still active. We don’t use advertising or tracking cookies.
9. Your rights
You can ask to see what information we hold about you, ask us to correct it, or ask us to delete it (where we’re not required to keep it — for example, active employment or payroll records). Contact HR at hr@linestartrucking.com.
10. Changes to this policy
We may update this policy as the system changes — for example, as Face ID attendance rolls out more broadly. The “last updated” date at the top will always reflect the latest version.
